At Nightcap POS, we respect your right to control your personal data. This page explains how you can request deletion of your account or your data, what information is deleted, what may be retained, and how long the process takes.

How to Request Account Deletion

If you would like to permanently delete your Nightcap POS account and all associated data, follow these steps:

  1. Send an email to privacy@nightcappos.com with the subject line "Account Deletion Request".
  2. Include the email address associated with your Nightcap POS account and your store name.
  3. Our team will verify your identity and process your request within 30 days.
  4. You will receive a confirmation email once your account and data have been deleted.

How to Request Data Deletion (Without Deleting Your Account)

If you would like to delete specific personal data while keeping your Nightcap POS account active, follow these steps:

  1. Send an email to privacy@nightcappos.com with the subject line "Data Deletion Request".
  2. Include the email address associated with your account, your store name, and a description of the data you would like deleted.
  3. Our team will review your request and respond within 30 days to confirm what data can be deleted.

What Data Is Deleted

When you request full account deletion, the following data is permanently removed:

  • Account information: name, email address, phone number, and login credentials
  • Business information: store name, address, tax identification numbers, and business license details
  • Transaction data: sales records, inventory records, product information, and pricing data
  • AI query history: any text queries submitted to the AI assistant and scanned invoice images
  • Device information: device identifiers and push notification tokens

What Data May Be Retained

Certain data may be retained after account or data deletion as required by law:

  • Financial and tax records: Transaction records required by applicable tax and accounting regulations may be retained for up to 7 years after deletion, as mandated by law.
  • Aggregated or anonymized data: Data that has been aggregated or anonymized so that it can no longer identify you may be retained for analytics and service improvement purposes.
  • Legal obligations: Any data required to comply with legal obligations, resolve disputes, or enforce our agreements may be retained for the period necessary to fulfill those purposes.

Processing Timeline

All deletion requests are processed within 30 days of receipt. You will receive an email confirmation once the deletion is complete. If additional time is needed, we will notify you of the reason for the delay.
